GENERAL RULES AND REGULATIONS

  1. All Customers and their representatives, employees, contractors, agents, invitees, and users of Customers' facilities and all contractors, vendors, invitees, or agents ("Visitors") and in the singular (the “Visitor”) are subject to these Rules and Regulations in connection with their use of or access to the Building and/or Lamda Hellix Services.

  2. During the entrance into the Building, all Customers and their representatives, employees, contractors, agents, invitees, and anyone third parties, have the obligation for their information relating to evacuation procedure and emergency exits of Building.

  3. Visitors are not allowed to post signs, advertisements or announcements.

  4. Visitors are not allowed to use the following inside the Facility: tobacco, explosives, weapons, chemicals, drugs, electromagnetic devices, radioactive materials, all types of photographic or video recording equipment. Food and beverages are ONLY allowed at the offices of the Building, after prior approval of Lamda Hellix and never in any other area of the Facility.

  5. Lamda Hellix reserves the right to inspect all objects to be brought into or taken out of the IDC and to preclude from the Building all objects which violate any of these Rules and Regulations. Lamda Hellix may request from any person entering or leaving the Building with any package to present the contents of the package.

  6. Visitors have the obligation to maintain the areas of the Facility clean and are not allowed to misuse or damage the infrastructure and property of Lamda Hellix.

  7. The Building must always be kept neat and tidy. Visitors shall remove all their trash upon departure from the Building to the garbage collection bins located inside the Building. Lamda Hellix shall have the right to remove and discard any trash and debris left in the Building in violation of the foregoing, and to charge the Visitor for such trash removal. In the case of heavy bulk garbage coming from packaging materials, Visitors are responsible for their collection and their immediate removal in cooperation with Lamda Hellix. Smoking is prohibited to all Visitors, Guards and Lamda Hellix staff at all times and areas of the Building.

  8. Visitors are not allowed to bring into or preserve inside the Building’s premises any hazardous, inflammable, combustible, explosive, or otherwise dangerous fluid, chemical or substance at any time.

  9. No acids, vapors or other materials shall be discharged or permitted to be discharged into the waste lines, vents or flues of the Building.

ACCESS CONTROL

  1. Access to the Building is only allowed to those individuals specifically identified by an authorized employee of the Customer that may access the Building ("Permitted Individuals") and only for the date(s), time, duration and areas that they have been permitted to have access.

  2. While entering the Building, all visitors are required to: (a) show an ID, passport or relevant identification document, (b) sign the Entry log, (c) read and accept the Operation and Safety Terms and Regulations of the Building and (d) receive their personal access card. During their stay at the Building, Visitors ought to prominently wear and use the access card in order to move to those areas where access is allowed to them. It is explicitly forbidden to follow a third person who enters or moves within the building using his or her own access card without the visitor using his or her own access card. Upon leaving the Building, Visitors must sign the exit log and return the access cards.

  3. The use and access of the Building by the Visitors must always be in accordance with the relevant Terms and Conditions, a copy of which is available to all Lamda Hellix visitors upon request.

  4. Visitors are oblidged to review the Operation and Safety Terms and Regulations of the Building. Using the Building after their review is considered as an acceptance of those Terms by the Visitors.

  5. During their stay at the Building, Visitors are allowed to visit only those areas for which access has been permitted to them and are obliged to stay close to their equipment. It is strictly forbidden to enter the areas of exclusive use by Lamda Hellix (e.g. battery rooms, generators, UPS, terraces etc) without prior approval and escort by Lamda Hellix’ personnel. While inside the Building, Visitors are not allowed to handle, use, examine or check in any way, part of the Equipment or the Position of the Equipment other than his own or Equipment related to the operation and safety of the Building. Any Visitor that might proceed in those prohibited actions (a) will be removed from the restricted areas, (b) the incident will be recorded in the Incidents Book, (c) the Customer will be informed relatively. If more than three (3) incidents of violations will be recorded by a specific Visitor, Lamda Hellix is entitled to prohibit the entry of the particular Visitor into the Building in the future.

ACTIONS

  1. All equipment installation works must be pre-approved by Lamda Hellix.

  2. Physical works that might that might cause dust or smoke or other suspended particles (e.g. paint) are prohibited inside the Building and are allowed only at the external after prior consultation with Lamda Hellix.

  3. Upon completion of any work related to the Equipment, the Visitor is required to make sure that all the cables are properly set inside the racks and all the doors of the Equipment are closed and locked and that both the Equipment and the space are left safe, clean and in order.

 

BEHAVIORAL GUIDELINES

  1. Visitors, guards and the employees of Lamda Hellix are not allowed to harass, threaten, intimidate or offend verbally or physically any person within the Building or while they are within Lamda Hellix property.

  2. Visitors are not allowed to engage in any action that violates the law or constitutes a criminal activity while they are inside the Building or Lamda Hellix property or related to its Services. Lamda Hellix may refuse entry to, or require the immediate departure of, any individual who (i) causes turbulence, (ii) fails to comply with these Rules and Regulations, or (iii) fails to comply with any of the other procedures and requirements of Lamda Hellix after being acknowledged to them. This kind of behavior will be recorded by the security guards and the Client will be officially informed. If a Visitor’s behavior remains as above repeatedly, Lamda Hellix may forbid the future entrance of this specific Visitor to the Building.

DATA PROTECTION POLICY

  1. Safeguarding the personal data of our Visitors is a top priority for Lamda Hellix. Our Data Centers follow the latest technological solutions and the highest industry standards for physical and digital security.

  2. Processing of the Visitors’ personal data is governed by the relevant provisions of Greek and EU legal framework on data protection, including the General Data Protection Regulation and the relevant decisions, guidelines and regulation issued by the Hellenic Data Protection Authority.

  3. Your personal data are collected and maintained only for the necessary time, for specific, explicit and legitimate purposes and shall be treated fairly, lawfully in accordance with the applicable legal framework and in a manner that guarantees their integrity and confidentiality. Those personal data are always appropriate, relevant, precise and updated if needed and never exceed the number needed for the previously mentioned purposes.

  4. This specific process describes the way we use and collect your personal data and informs Visitors upon their rights.

  5. Collection of Personal Data: In order to provide access permission to our premises, we need to collect and process the Visitors’ personal data. The types of personal data that are requested include only the following:

  1. Purpose of Data Collection: We use personal data to provide access in our Data Center Campus. The previously described categories of data are mandatory in order for Visitors to enter our facilities. Those data are solely collected to issue entry permission under their name. This data processing is based on Lamda Hellix's legitimate interest for protecting its critical facilities and infrastructures. We also we collect the data described above through CCTV in order to provide physical security to our personnel.

  2. Access to those personal data may only be provided to authorized personnel or external partners acting on our behalf by providing security services.

  3. When sharing personal data with third parties that provide services on our behalf, we require them to preserve the confidentiality of those data, be fully compliant to the regulatory framework for the protection of your Data and use those data only for the execution of their provided services.

  4. We will keep the Visitors’ personal data for two (2) years since the issuance of the entry permission. If we need to re-issue an entry permit under your name, you will be asked to provide again the same information. The data which are collected through CCTV system will be preserved for 15 days according to the Greek legislation.

  5. Lamda Hellix ensures the Visitors’ rights as regards to the processing of their personal data and facilitate their right to practice them. Specifically, you have the right to request:

    1. Access their personal data and detailed information upon the data we process, the purposes of processing, the categories of recipients and the retention period.

    2. Request update of their personal data in case they are inaccurate, outdated or incomplete.

    3. Deletion of their personal data, unless their processing is necessary to practice the right of freedom of expression and information for the fulfillment of a legal obligation, for public interest reasons or for defending our legal rights before judicial or other Authorities.

    4. Processing restriction of their personal data only for specific purposes given that the truth of data is questioned or the process in illegal.

  1. If Visitors feel for any reason that their data protection rights have been violated, they are ale to lodge a complaint to the Data Protection Authority (DPA – www.dpa.gr).

CONFIDENTIALITY

  1. Each Visitor must observe and ensure the confidentiality and trust of all information disclosed or obtained as a result of his or hers entrance to the building and shall not use nor disclose them unless for the purposes of the proper performance of this Agreement or with the prior written consent of Lamda Hellix. The Visitor shall disclose the contents of this Agreement to any third party without Lamda Hellix’s prior written consent. The “Confidential Information” of Lamda Hellix may be in any form and may include the terms and conditions of this Agreement, the Building, its interior, its access roads, the equipment locations of the customers of the party, its technical standards, the server and all portions and components thereof, software, source code, object code, sales methods and strategies, customers information, price and cost information, financial and marketing techniques and information, future plans, programs, plans, flow charts, diagrams, notes, outlines any formulas, processes, algorithms, mask works, ideas, inventions, know-how, methods, production data, technical and engineering data, test data and results, the status and details of research and development of products and services, trade secrets, manuals, information for the premises and the provided facilities, and other information not generally known to the public and all enhancements, upgrades, modifications, revisions and new versions thereof, and any other similar information. Such information need not be especially classified as “confidential” by Lamda Hellix but there is a general “confidentiality” presumption in this respect under this Agreement. Each intruder-visitor hereby assumes responsibility for disclosing the party confidential information only to those employees of the other party to perform its obligations or enjoy its express rights hereunder. The other party agrees to instruct its employees, owners, servants and assigns that the party confidential information is secret and strictly confidential. The obligation to protect the confidentiality of the party confidential information received pursuant to this Agreement shall remain binding forever. The term “Confidential Information” shall not include such portions of information which each Visitor can demonstrate that was or becomes (a) publicly available other than as consequence of unauthorized disclosure by themselves or by any third party or (b) lawfully in their possession prior to its disclosure.

  2. Photographing, tape and video recording are forbidden inside the Building, except for close-up photography or video recording of the position of the equipment or the equipment owned by the customer, in a way that the rest of the infrastructure of Lamda Hellix or of other customers, won’t be visible. It is forbidden to install CCTV unless they only monitor the interior of the customer's rack or cage.

 

MODIFICATION OF RULES AND REGULATIONS

 

  1. Lamda Hellix reserves the right to update these Rules and Regulations at any time. The current version of Rules and Regulations is uploaded in Lamda Hellix’s website: https://www.lamdahellix.com

USEFUL DIRECTIONS IN CASE OF EMERGENCY

 

Α) EVACUATION PROCEDURE

In case of an emergency, an alarm siren will be heard, and the evacuation procedure will be launched. In this case please follow the steps below:

  • Remain calm. Don’t panic.

  • Take along your personal belongings (IF you are nearby your desk) and start evacuating. If you are far from your desk, do not attempt to collect your things, evacuate immediately.

  • When the alarm goes off, the security personnel will open the main entrance and fasten it open to facilitate evacuation.

  • Leave the building using the nearest emergency exit to you in order to avoid overcrowding. Signage of the emergency exits may be found at the corridors of the Building.

  • Alert anyone who may not have taken notice of the evacuation. Be particularly mindful of people with special needs and visitors who may not be familiar with the layout of the building.

  • In case someone requires medical assistance (e.g. faint), ask your colleagues to help you move this person out of the building. DO NOT attempt to provide medical assistance before this person is safely off the premises.

  • As soon as you leave the building, proceed to the designated meeting point. The meeting point for Lamda Hellix personnel is the space nearby the central gate (check the signage). When you arrive at the meeting point, tap your card on the machine located there to be counted by the guard.

  • When you reach the meeting point, wait for instructions. Do not leave the meeting point nor attempt to re-enter the building, unless you take permission to do so by an authorized Lamda Hellix representative.

 

Β) DURING FIRE

In case you notice a fire, please follow the steps as described below:

  • Inform the security officer or guard.

  • Try to control the fire using the nearest fire extinguisher.

 

ATTENTION: Try to control only small sources of fire, such as cigarette fires in trash cans etc.

If the fire continues to spread, activate the fire alarm (break the glass and push the button), notify your supervisor and leave the building following the evacuation procedure.

 

C) DURING EARTHQUAKE

In case you notice an earthquake, take the following steps:

  • Don’t panic. Remain calm and reassure those around you.

  • If you are outside the building, remain inside and don’t attempt to leave during the earthquake.

  • Go under a table or door protecting your head with your hands.

  • Stay away from windows, selves and heavy objects.

  • If you are outside, gather at the meeting point as described at the designs that are hung on the corridors of the building. Avoid dropped cables - it might be under voltage.

  • When the vibrations stop, follow the instructions given by the security officer of the building or depending on the emergency follow the procedure, fire, evacuate a building if you hear the alarm.

  • Report any damage to machinery, facilities, cables etc. if you noticed any and inform the security officer since they are potential source of danger.

CONDUCT GUIDELINES

  1. Visitors may not misuse or abuse any LAMDA HELLIX property or equipment. The Customer is obliged to repair any damage caused to the Building or to LAMDA HELLIX in breach of the above.

  2. Visitors may not verbally or physically harass, threaten, intimidate, or abuse any individual within the Building or while on LAMDA HELLIX property, including without limitation, employees, agents, or invitees of LAMDA HELLIX or other Visitors. Abusive and threatening or offensive behavior by any Visitor will not be tolerated.

  3. Visitors may not engage or assist in any activity that violates the law or aids in criminal activity while in the Building or on LAMDA HELLIX property or in connection with the Services. LAMDA HELLIX may refuse entry to, or require the immediate departure of, any individual who (i) is disorderly, (ii) fails to comply with these Rules and Regulations, or (iii) fails to comply with any of LAMDA HELLIX other procedures and requirements after being advised of them. This kind of behavior would be recorded by the security guards and the Client would be officially informed. In the event a Visitors behavior remains as above repeatedly (more than 3 incidents), LAMDA HELLIX will be allowed to forbid the Visitor future entry to the Building.

MODIFICATION OF RULES AND REGULATIONS

  1. LAMDA HELLIX reserves the right to change these Rules and Regulations at any time, provided that the Customer is informed in advance of any such change.

  2. Visitors have the right to regularly review these Rules and Regulations. After reviewing the then applicable Rules and Regulations, continued use of and access to the Building or use of the Services shall constitute the Visitor's acceptance of such changes.

 

USEFUL DIRECTIONS DURING EMERGENCY

A) EVACUATION PROCEDURE

  • In case of an emergency remain calm. DO NOT PANIC.

  • When you hear the building alarm, collect your personal things (IF you happen to be near your desk) and start the evacuation immediately. If you are far from your desk, do not attempt to collect your things, evacuate immediately.

  • Leave the building using the suitable emergency exit nearest to you.

  • Alert anyone who may not have taken notice of the evacuation. Be particularly mindful of people with special needs and visitors who may not be familiar with the layout of the building.

  • In case someone requires medical assistance, ask your colleagues to help you move this person out of the building. DO NOT attempt to provide medical assistance before this person is safely off the premises.

  • As soon as you are out of the building, proceed to the designated muster station. The place nearby the main gate is designated as the muster station for all Lamda Hellix personnel.

  • When you reach the muster station, wait for instructions. Do not leave the muster station unless you take permission to do so by a Lamda Hellix responsible person. Do not attempt to re-enter the building unless you take permission to do so by a Lamda Hellix responsible person.

Β) DURING FIRE

In case you notice a fire, take the following steps:

  • Notify your department manager / supervisor.

  • Try to control the fire using the nearest suitable extinguisher. REMEMBER: You must only try to control very small fires (e.g. fire in a dustbin caused by a cigarette).

ATTENTION: If the fire continues to spread, activate the fire alarm (break the glass and push the button), notify your supervisor and leave the building following the evacuation procedure.

 

C) DURING EARTHQUAKE

In case you notice an earthquake, take the following steps:

  • Do not panic. Stay calm and help your partner.

  • During earthquake do not attempt to abandon the building.

  • Go under a table or door with your heads in your noggin.

  • Do not approach windows or other things.

  • Avoid cables that find it on floor.

  • When the earthquake stops, follow the directions of the responsible and regulations of building.

  • You should inform the responsible for any damage.
